Cancellation & Refund Policy

This page explains how to cancel a confirmed booking with Travel Fair India Pvt. Ltd., how cancellation charges are worked out, and how refunds are processed.

The short version. Cancellation charges are not a single fixed percentage. They depend on which hotels, transport, activities and other services your itinerary includes, and on each supplier's own conditions. Because of that, the exact cancellation and refund terms for your booking are set out in writing in your quotation and booking confirmation, before you pay anything. Please read them before confirming.

How to cancel a booking

Contact us as soon as you know you need to cancel. Cancellation charges usually increase the closer you get to the travel date, so an early request often costs less.

Please send your cancellation request in writing, quoting your booking reference and traveller name, so that the request is recorded with a date and time. If you call us first, we will ask you to follow up by email. The cancellation takes effect from the date we receive your written request.

We will confirm receipt, tell you the cancellation charges that apply to your booking, and tell you the refund amount, if any, before anything is processed.

How cancellation charges are worked out

A tour arranged by us is usually made up of services bought from independent suppliers — hotels, transport operators, guides, activity and safari operators, railway and airline operators, and others. When you cancel, each of those suppliers applies its own cancellation conditions to us, and those conditions determine what we can and cannot recover.

Your cancellation charge therefore depends on:

  • Which services your itinerary includes
  • How many days before the travel date the written cancellation request is received
  • The cancellation conditions of each supplier for those specific dates
  • Whether the travel dates fall in a peak or festival period, when supplier terms are usually stricter
  • Any amounts already paid to suppliers on your behalf that cannot be recovered

Where to find your terms. The cancellation conditions that apply to you are stated in your quotation and repeated in your booking confirmation. They are not hidden in small print and they are not changed after you confirm. If anything in them is unclear, ask us before you pay — we would much rather explain it in advance.

Services that are often non-refundable

Some services carry a cancellation charge from the moment they are confirmed, and some cannot be refunded at all. Where your booking includes any of these, it is stated in your quotation and booking confirmation. In our experience this most often applies to:

  • Air tickets, which follow the airline's own fare rules
  • Luxury train journeys, which are operated by third parties under their own booking conditions
  • Hotel rooms booked on a non-refundable or advance-purchase rate
  • Accommodation and services over peak, festival and New Year periods
  • National park and wildlife safari permits, which are issued by the park authority
  • Monument and event tickets already issued in a traveller's name
  • Visa, permit and similar government fees already paid to the issuing authority

We will always tell you which parts of your booking fall into this category before you confirm, not afterwards.

How refunds are processed

Where a refund is due, we process it as follows:

  1. We confirm the cancellation charges and the refundable amount to you in writing.
  2. Once you confirm, we process the refund to the same bank account or card used for the original payment. We do not refund to a different account.
  3. The time taken for the money to reach you depends on your bank or card issuer, and on any supplier we are recovering funds from. Where a refund depends on a supplier returning money to us, we cannot complete it faster than that supplier allows.

We will never ask you for your card number, CVV, PIN, OTP or net-banking credentials in order to process a refund. Anyone asking you for those is not acting for us — see Payment & Security.

Please note: we do not promise a refund we are not able to make. Where a supplier retains funds under its own terms, that amount is not available to be refunded. Amounts identified as non-refundable in your quotation or booking confirmation are not refundable unless we agree otherwise in writing or applicable law requires it.

Changing a booking instead of cancelling

If your plans have shifted rather than fallen through, ask us about amending the booking before you cancel it. Depending on the suppliers involved, moving dates or altering the itinerary is sometimes possible and sometimes cheaper than cancelling. Any difference in price, and any supplier amendment charge, is confirmed to you in writing before the change is made.

If we have to change or cancel

Occasionally a booking has to be changed or cancelled by us or by a supplier — for example where accommodation becomes unavailable, a service is withdrawn, or circumstances beyond reasonable control prevent the arrangements going ahead. Circumstances beyond reasonable control include natural events, severe weather, civil disturbance, strikes, epidemics, and government or authority restrictions.

In those situations we will contact you as soon as we can and offer, where possible, a suitable alternative arrangement, or a refund of amounts we are able to recover from the suppliers concerned. We cannot refund amounts that a supplier retains under its own conditions.

Unused services and no-shows

Services that are not used after travel has begun — an unused hotel night, a missed transfer, a sightseeing tour not taken, or an early departure — are generally not refundable, because the supplier has already been paid and the service was held available. Where any part is recoverable from a supplier, we will pursue it on your behalf and pass on what is recovered.

We recommend arranging travel insurance that covers cancellation, curtailment and medical costs. We do not sell insurance.
